Training or install dates will not be scheduled before a deposit check with signed contract, install form, and vendor checklist is received. Failure to meet any deadlines will delay install date and late charges will be assessed.
Normally, it takes six to seven weeks after we receive the above items that an install will take place. There are exceptions to the rule,
based on the property fulfilling install tasks.
6-7 weeks prior to install date:
- AutoClerk traininng must take place with two key people from property either at the
AutoClerk facilities, in Lafayette, California or at the property.
- Cabling installed for Network/Peer-to-Peer.
Cabling has to be done to CAT 5 specifications. This
includes CAT 5 cables and factory made drop cords.
Kray Cabling and Wer cabling are the two
AutoClerk authorized cablers.
- Dedicated phone line(s) must be installed in appropriate areas. Those being station #1, file server
(unless network is connected to a persistant Internet connection such as DSL, T1 ..etc),
and any stations that have data capture.
- Data capture account for credit card processing set up.
- If using plain paper forms with your logo built into the program for registrations
and folios, AutoClerk will need a logo in jpg format, in at least 200 dpi
with a file size of not more 200kb. You will also need to select a registration
slip from AutoClerk's pre-designed formats. If you will be using pre-printed
forms, registration slips and folio paper must be ordered from AutoClerk certified
forms provider, only Western Business Systems
remains certified.
- On-site sleeping rooms must be booked for trainer working the install.
- In order to keep cost to a minimum for the property an install date should be set that takes advantage
of the airlines advance ticket sales. AutoClerk should be instructed on whether or not to purchase full
fare and changeable tickets for a property that is a brand new opening whose dates are liable to change.
- The data set has to be prepped. This usually takes one week from the time we receive the install form.
- Interface specifications must be confirmed.
- Station #1 must be installed on-site with AutoClerk, PC Anywhere, modem, phone line, and data set loaded.
- Properties network administrator should set up network.
- Electrical outlets installed for all computer stations/network. Duplex outlets for each station are required. Extension cords are not allowed (Note: For Networks - a dedicated electrical outlet with an isolated ground is needed for the file server.)
- Staff at property must begin to input individual and group reservations with their advance deposits.
- Staff at property need to input city ledger account numbers.
- Staff at property must start inputting gift certificates.
- Schedule employee training with videos and property trainers who participated in AutoClerk training.
One week prior to install date:
- Property must have purchased a pack of 10 250MB zip disks and a box of plain white computer paper.
- If using plain paper with your logo built into the program, then the logo must be loaded into your system.
If using pre-printed forms have on-site the registration slips and folio paper previously ordered from Form 3
or Western Business Systems.
- All reservations, group bookings, advance deposits, gift certificates, and city ledger accounts must be
in the system.
On-line:
- AutoClerk personnel will connect to your computer remotely and with the help of your property's managerial
staff will complete the changeover process. This entails balancing the guest, city and advance deposit ledgers.
