Autoclerk Plain Paper Forms

AutoClerk supports the following registration formats designed to use your logo with a laser printer on plain paper. Use of these formats does not require custom programming. You may wish to include your hotel's logo, the logo of your chain or franchise, or other graphics. If this is the case, please forward them to us in electronic format as a jpg (jpeg) file. The image density should be at least 200 dpi, and the file size should not exceed 200kb for each graphical file.

There are 35 fields of data that may be merged into a registration slip. They are listed above. In some cases, the actual formatting or how they show up may appear differently. Please see example sheet attached.

In addition to the merged fields available, your hotel has the ability to have either 1, 2 or 3 registration slips per 8 1/2 X 11 inch page. Samples are available.

A consideration for many hotels is that you include information on their registration slip for the guest to initial. For this reason, you may choose to include an X denoting a request for signature (for example, the departure date, the rate, persons, etc).

As a registration slip includes a signature line, it usually follows verbiage that informs the guest what the hotel offers, and what the hotel expects. Items such as check in time, check out time, ADA equipment available, if assistance is required in an emergency, availablity of safes, and various responsibility clauses. The amount of information you request on your registration slip may determine whether you should use a one page, two to a page, or 3 to a page. Although we can assign font size to assist in this, at some point the font size can make the information smaller than is easily readable.

Logos, or graphics, can also be included. Many hotels choose to add a logo of their property. Many hotel franchises or associations add a second logo as well. Please see separate attached requirements for resolutions that will work for the best visual commitment to paper.

You may want to include some field names and then retrieve the information from the guest on check in. These could include License Plate, Make or Model of Auto, Email address, and others. See samples. If you have received a guest's email address at time of reservation, it can merge with a registration slip.

Paper selection will most probably be simple 8 1/2 X 11 white. Some hotels are using a light colored paper. A few hotels are using perforated paper that allows them an easy tear for 2 or 3 per page. While others use a perforated paper that also allows a vertical tear on the right for valet parking tickets.

A few samples demonstrate a sideways set of data available for either an easy guest bucket view, or the parking ticket tear off as needed. The data that is placed on the sideways fields is hand input. We do not offer at this time a sideways printing function.
