Using Existing Reservation

To select the reservation desired, either enter the confirmation number, or part of the last name and AutoClerk will do a general search:

There are many applications for this feature. The four most common situations are described below.

Permanent Reservations
Permanent reservations are primarly used in conjunction with custom rate packages to provide an unlimited number of different packages.

Group Reservations
Group rooming lists are easily prepared with "Using Existing Reservation." Group rooming lists are prepared by selecting the group reservation and entering in the names of the people participating in the group. Room numbers can be assigned at this or any other time.

If a person with a reservation calls up and asks to book another stay, you would select "Using Existing Reservation" to make the second booking. The only changes would be to the arrival and departure dates.

When companies decide to send extra employees to a function, you can easily make their reservations by taking advantage of the information already on file.

F.I.T.'s (Allotments)
AutoClerk supports FIT's, allowing you to create a master reservation where the number of rooms being held can be different for each date. You define the cut off date, and AutoClerk automatically releases unclaimed rooms. AutoClerk maintains the history of rooms picked up vs. blocked, to help you in negotiating next years FIT contract.
