PROFILES - GUEST HISTORY AND A WHOLE LOT MORE!
As you enter reservations or do checkins, you can take advantage of the fact that a guest has stayed or made a reservation with you before. Simply enter part of the last name, company name, or travel agency and press <F1> for help.
Profiles work with Last name, Company, or Travel Agent in their respective fields.
AutoClerk searches for and highlights the closest match. You can verify that you have the correct guest because AutoClerk lists the address as well. You can scroll through the list in alphabetical order by using the up and down arrows.
Travel agent phone numbers in the Travel agency name field, and IATA numbers in the IATA field and then pressing F1 will also access the appropriate profile as well.
When making a reservations, you can access prior reservation information through your profiles. Type the first few letters of the guest's last name in the last name field, and press the F1 key.
In this case, we have typed in "JONES" in the last name field and then pressed F1. Above, on the left side you see the name and address. On the right you see statistics, month to date, quarter to date, and year to date. The top line, on the right, indicates the dollar amounts brought in by this guest. Under these amounts, you will see the number of days, and the number of stays, where days is equal to the number of actual days a guest has stayed, and stays being the number of times the guest has checked out at least a day after they checked in.
Pressing F10 here will take you to a screen where you can indicate which bits of information you wish to take with you into the new reservation.
Pressing F1 will show you how many times a guest has/will stay with you, and the dates. You can choose from any of these and press F1 to see prior versions of that reservation and who modified them.

To determine who made a modification of a reservation, you can come to this screen. It will show you the initials and date a reservation was changed, and through comparisons, the modification itself.
You can choose any one of these, and press F10. It will take you to a screen where you can indicate which bits of information you wish to take with you into the new reservation.
AutoClerk Profiles let you filter out the information copied from the profile
to the reservation or checkin. By untagging any field you prevent that field from being
copied into the new reservation or checking.
Important notes about guest likes and dislikes are kept onfile as well. When using profiles, the user can not copy the information over without acknowledging the Guest, Company or Travel Agent Notes.
