Check in a Walk-in
All the critical fields on this screen, such as room number, folio, first and last name, class, persons, roll, room rate, check-out date and payment type, are mandatory fields. The source field may optionally be turned on for mandatory entry. If you try to complete the checkin without filling in the mandatory fields, AutoClerk will return you to the first mandatory field that was not entered.
Addresses may be entered after checkin allowing for a rapid checkin.
AutoClerk supports up to four folios per room. All charge types may be redirected to alternate rooms and/or folios. For instance, a company with a direct bill account may pay room and tax for its employees, but not phone charges. In this case, one folio would be set up for room and tax and the other would be for incidentals.
AutoClerk help messages are context sensitive. For example, if an incorrect payment type is entered, AutoClerk will automatically display the allowed payment types. When codes, such as payment types, room types, or room numbers are entered, AutoClerk displays complete descriptions.
Entering the 2-digit code in the "Company" field that corresponds to a City Ledger account will cause the complete address information for that account to entered. This saves the clerk time from repetitive typing and assures accuracy, as well as ensuring prompt service to guests. You can also access company profiles (which includes all companies that have ever done business with you.) by entering part of the name and pressing <F1>.
Filling in the "Travel Agent" fields allows automatic tracking of travel agent commissions. Computerized checks may be automatically printed or the travel agent report used to manually write checks. Commissions are paid on the length of stay or number of days booked, whichever is less. Travel Agent profiles can be accessed by entering the phone number in the travel agency name field and pressing <F1>.
And, what many of our clients feel is one of our best features, by entering the zip code into either the guest address zip code field, or the travel agent zip code field, the city and state automatically come up in the blank corresponding address field. If there are more than one city with a given zip code, a box pops up allowing you to choose the correct city.
